We are Zapp Group Limited, trading as Zapp (“Zapp”, “we”, “us”, “our”). This Privacy Policy explains how we collect and use your personal data when you visit our careers site (the “site”) or apply for a role with us.

2. What personal data we collect
Depending on how you interact with the site, we may collect:
Information you give us
- Application details: name, contact details, CV or résumé, cover letter, work history, education, references, right-to-work information, salary expectations.
- Communications: messages you send to us by email or through the application form.
- Profile information: anything you choose to add to a candidate profile, e.g. portfolio links, LinkedIn URL.
Information collected automatically
- Browsing data: pages visited, browser type, device type, IP address, referring URL - collected via the cookies described in our Cookie Policy.
We don’t ask for sensitive personal data (e.g. health, ethnicity, religion) as part of the application process. If you choose to share this information voluntarily - for example, to support a reasonable adjustments request - we’ll handle it with extra care and only use it for that specific purpose.
3. How we use your personal data
- To assess your application and decide whether to invite you to interview.
- To communicate with you about your application and possible future roles.
- To carry out pre-employment checks if you progress in the process.
- To improve the careers site and the application experience.
- To comply with our legal obligations (e.g. record-keeping).
4. Legal basis for processing
Under UK GDPR, we rely on the following legal bases:
- Taking steps at your request before entering a contract: assessing your application and progressing it through the hiring process.
- Legitimate interests: running and improving the careers site, contacting you about other suitable roles, and keeping records of recruitment activity. We balance these interests against your rights.
- Consent: where you’ve given us clear permission, e.g. to keep your details on file for future opportunities. You can withdraw consent any time.
- Legal obligation: e.g. right-to-work checks.
5. Who we share your personal data with
- Members of the hiring team at Zapp who need to review your application.
- Teamtailor, our applicant tracking system provider, which processes your application data on our behalf as our data processor.
- Background-check providers, where relevant and only at the offer stage.
- Professional advisors (e.g. lawyers) and regulators or authorities where we’re required to share information by law.
We never sell your personal data.
6. International data transfers
Teamtailor is based in Sweden (EEA). Where personal data is transferred outside the UK or EEA, we rely on appropriate safeguards - including the UK International Data Transfer Agreement or Standard Contractual Clauses - to ensure your data is protected to UK standards.
7. How long we keep your personal data
- Unsuccessful applicants: we keep your application for up to 12 months from your last activity, so we can contact you about other suitable roles. After that, we delete or anonymise it unless you’ve asked us to retain it for longer.
- Successful applicants: your information becomes part of your employment record and is retained per our employee data retention schedule.
- Talent pool / general expressions of interest: up to 24 months, unless you withdraw consent sooner.
8. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you.
- Ask us to correct inaccurate or incomplete data.
- Ask us to delete your data (subject to limited exceptions).
- Restrict or object to how we process your data.
- Receive your data in a portable format.
- Withdraw consent at any time, where we’re relying on consent.

If you’re not satisfied with our response, you have the right to complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk or 0303 123 1113.

We use cookies as set out in our Cookie Policy. You can change your preferences any time by clicking Manage Cookies in the footer.
10. Security
We use technical and organisational measures to protect your personal data, including encryption in transit and access controls. No system is 100% secure, but we work hard to keep yours safe.

We may update this policy from time to time. The “Last updated” date at the top tells you when it was last revised. Material changes will be flagged on the careers site.
